Sales Order

Sales Orders are orders you receive from customers. Such orders of goods or services are usually presented as a paper copy received by fax or mail, which you may capture in Second CRM for the purposes of organization and efficiency. A sales order may differ from your quote and you should have such information available in Second CRM.

How to use

You may create a Sales Order directly from the Sales Order module. This will require that you set all references, for instance, to a sales potential, manually.

To create a new Sales Order manually in Second CRM, follow the steps below:

  1. Go to All > Sales > Sales Order at the navigation area.
  2. Click on the + Add Sales Order button as shown below:

    Once you have clicked the button, your screen should appear just like below figure:

  3. Enter Sales Order information. Fields marked with an asterisk [ * ] are mandatory.
  4. Once done, click the Save button to transfer your data to your Second CRM database.

Create Sales Order from Account

You also can create a Sales Order from the Accounts module. You may chose this way for an automatic transfer of the account master data to the Sales Order.

To create a new Sales Order from the Accounts module:

  1. Go to Account > click on Account name > click Sales Order at the tab on the right.
  2. Click on the + Add Sales Order button as shown below:

  3. Enter Sales Order information. Fields marked with an asterisk [ * ] are mandatory.
  4. Once done, click the Save button to transfer your data to your Second CRM database.

You can create a Sales Order from the Quotes module. You may chose this way for an automatic transfer of the quote master data to the Sales Order.

To create a new Sales Order from the Quotes module:

  1. Go to Quotes and click on the Potential's name to enter detail view of the Quote.
  2. In the detail view of that Quote record, click More > Generate Sales Order as shown below:

  3. Modify details if necessary and once done, click Save to finish.

There must be an existing product or service catalog in Second CRM before you can create a Sales Order.

You can use the [book icon] to select the price from your price book entries. That is especially useful if you maintain various price lists for different types of customers.

The Item Details block gives you the flexibility to add Products/Services, manage different prices through Price Books, offer discounts and include local/state/federal taxes as well as special taxes.

You can click on the box icon in the Item Name column to select a product, or click on + Add Service followed by the globe icon to select a service from the product or services catalog. Click on + Add Product/Service again to add another product or service.

Tax Mode

For taxes, it can be calculated individually for each product or service, or calculated for the whole. Before you select items for your Sales Order, you need to decide what tax mode applies to your offer. Second CRM supports an Individual and a Group tax mode.

In the figure below, you see the entry details in the Individual tax mode. With this tax mode you may set different taxes for each individual product or service you offer.

Your organization might have to create invoices periodically depending upon your business needs. Second CRM gives you the flexibility to generate recurring invoices from Sales Order records.

To create recurring invoices:

  1. Go to All > Sales > Sales Order at the navigation area and click on the desired Sales Order record.
  2. In the detail view of a sales order record, you can find the Recurring Invoice Information block as shown below:

  3. Check the check-box to enable Recurring Invoices.

Enable Recurring Check the check-box to initiate generating invoices periodically.
Start Period Specify or select a date on which your first invoice should be generated.
Payment Duration Select the number of days within which your customer is supposed to make payment. Also, in the invoice record, Due Date is calculated as Invoice generated date + Payment Duration.
Frequency Invoice generating cycle depends on frequency you set. For instance, if you select Monthly, invoice is generated once a month after Start Date.
End Period Specify or select a date on which you want to stop generating invoices.
Invoice Status The newly created invoice record picks up this status automatically.

To View Sales Order details information:

  1. Click on the Sales Order name and your screen should appear just like below:

  2. The right side tab will display a view of the relations of the Sales Order module with other modules, and maintains a log of the Sales Order’s complete history in Second CRM.

You can perform the following operations by clicking on the Action drop down button in list view:
  • Select Edit to modify selected record(s)
  • Select Delete to delete selected record(s)
  • Select Import or Export to Import or Export a list of Sales Orders.
  • Select Find Duplicates to find duplicate record(s)

List of operations you can perform on detail view of Sales Order record:
  • Click Edit button to modify field information.
  • Click More > Delete to delete the Sales Order record.
  • Click More > Duplicate to clone the Sales Order record.
  • Click More > Export to PDF to export the Sales Order record in PDF format.
  • Click More > Send Email with PDF to send email with the record in PDF format.
  • Click More > Create Invoice to create an Invoice from the Sales Order.
