Calendar

The typical day of a sales person includes managing, tracking and following up activities that are scheduled to be done on the present day. You can do all that with a single Calendar application.

In the Calendar module, you can see a list of activities that are scheduled by you, and shared with selected users:
  • Events
  • To Dos
  • Date of Birth (Contact's date of birth)
Also, in the Calendar module, you can see activities in three different views.
  • Month (Activities scheduled for the current month)
  • Week (Activities scheduled for the current week)
  • Day (Activities scheduled for the current day)

Each individual user has their own calendar. However, you may invite other CRM users to calls or meetings and/or share your calendar with other users. The calendar is displayed in the browser defined language. If your calendar is displayed in the wrong language, please check your browser settings.

How to use

You can configure your Calendar according to your preferences. To configure your Calendar:

  1. Go to All > General > Calendar or simply click on Calendar at the navigation area.
  2. Click on the Calendar Settings icon on top right of Calendar home page as shown below:

  3. Once you click on the settings icon, your screen should appear just like below:

  4. Then, you can configure your Calendar according to your preferences.
  5. Once done, click the Save button.

You can also create events and to dos by clicking on the Add button in the Activities block in summary view of any [Module] record (e.g. Contacts Module).

To add new Activities:

  1. Go to All > General > Calendar or simply click on Calendar at the navigation area.
  2. Click the Add Event/To Do button on the top right as shown below:

  3. A pop-up window within the calendar will open as shown in the figure below. Select Event as your activity type and enter the information in the pop-up form, or add more details with a full form by clicking on the Go to full form button.

  4. Enter event information. Fields marked with an asterisk [ * ] are mandatory.
  5. To schedule an automatic reminder e-mail, check the check-box under the Reminder Details block and key in the time (Days/Hours/Minutes) when you want to receive the email as shown below:

  6. To schedule events which occur on a regular basis, check the check-box next to Repeat in the Recurrence Details block to input your settings as shown in the figure below:

  7. To link an event to your contacts at one shot, click on the Search icon within the Contact Name field and select from existing contacts.
  8. Once done, click the Save button and you will see the event listed in your calendar.

Second CRM can help you schedule tasks which are sometimes called To Do’s. Tasks are always assigned to one CRM user or Group and need to be completed within a given time frame.

To add new Tasks/To Do’s:

  1. Go to All > General > Calendar or simply click on Calendar at the navigation area.
  2. Click on the Add Event/To Do button on the top right as shown below:

  3. A pop-up window within the calendar will open as shown in the figure below. Select To Do as your activity type and enter the information in the pop-up form, or add more details with a full form by clicking on the Go to full form button.

  4. Enter To Do information. Fields marked with an asterisk [ * ] are mandatory.
  5. Once done, click Save to store the task in Second CRM.

If you want to see all activities in one list you may click the Calendar List tab at the left Calendar menu as shown in the figure below:

At the list view you can click the name of an activity to open it in detail view as shown in the figure below. In detail view you can change details by editing, or duplicate the activity.

Field Information

Table: Overview event information
Subject A mandatory field; you must provide a name for the event.
Assigned to By default the creating user is the owner of the event. You may change it if necessary.
Start Date/Time and End Every event has a beginning and an end. You may choose to have an end date days later. This for instance is if you have business trip lasting several days.
Status Select the appropriate status for this event (for example: Planned, Held).
Send Notification If you mark this check box, an e-mail with the actual event information will be sent to the owner of the event. You may use this function for instance if the event owner changes.
Activity type Select an event type (for example: call, meeting).
Visibility You can choose to make the created event Public, so that a newly created event is shared with other users.
